The Excel workbook has four sheets: a Dashboard for stock and sales totals, an Inventory table for item-level records, a Monthly view for the latest 12 months, and a short How to use guide. Enter acquisition cost, preparation costs, dates, listing status and sale details; the workbook calculates net proceeds, estimated gross profit, return on cost and days to sale. Dropdowns help keep condition and status entries consistent. The CSV download remains available as a lightweight blank tracker, but CSV cannot retain formulas, dropdowns, styling or analytics.
What the dashboard measures
The active listing total includes items marked Active and Holiday hidden. Drafts, manually Hidden items and Under review items appear as separate status counts, so they are not mixed into that total. The monthly sheet groups sold items by sold date and reports item count, net proceeds, gross profit and average days to sale.
Gross profit is a simple estimate: net proceeds less acquisition cost and prep or other item costs. It remains blank when the acquisition cost is missing. Net proceeds subtract refunds or adjustments and selling costs from the sale price. Enter amounts consistently in pounds sterling.
Use one item code from intake to sale
Assign each item a short unique code when it arrives. Put the same code in your spreadsheet and on the storage box or bag label. Keep listing photos and records connected to that code so that you can find the right item when it sells. Do not include private notes in buyer-facing descriptions.
Keep status values distinct
Use the dropdown values Intake, Draft, Active, Holiday hidden, Hidden, Under review, Sold, Returned and Removed. A draft is not a published active listing. Holiday hidden remains in the dashboard’s active total, while manually Hidden, Draft and Under review are counted separately. Mark a sale Returned if the item comes back and is again part of your stock. Add a last checked date in your own notes when reconciling the sheet with Vinted.
Separate inventory from bookkeeping
The template is a stock-control aid, not accounting software or tax advice. Record actual transaction and expense information using methods suitable for your circumstances. Do not store buyer addresses, payment details or unnecessary personal data in this file. Keep backups securely and limit access to people who need it.
